MARKETING COORDINATOR - Job Description

Location: Tulsa, OK

REPORTS TO: Operations Manager  

SUMMARY:
Provide marketing and administrative support to the Operations Manager and administer general office tasks such as reception, office maintenance, and general errands.

ESSENTIAL DUTIES AND RESPONSIBILITIES: (Include the following. Other duties may be assigned.)

  1. Answers telephones, takes messages, forwards information to appropriate personnel. Screens calls,
    redirecting calls to subordinate managers or staff. Handles voicemail and e-mail. Opens, sorts and
    distributes mail. Monitors, manages and prioritizes the flow of incoming documents to optimize the
    executive's time. Sends outgoing mail using appropriate mail service. Distributes requests for
    information, tracks progress and follows up on actions taken. Sorts and files correspondence and other documents in filing system.
  2. Completes varied typing and word processing assignments that are of a confidential nature and
    includes correspondence, forms, tables, proposals, and somewhat complex reports. Operates office
    equipment such as word processors, computer software packages, fax machines and photocopiers to complete assignments. Updates manuals, reports and spreadsheets. Tracks and enters Time and
    Attendance.
  3. Performs basic bookkeeping duties, such as A/R, A/P, account reconciliation, invoice processing,
    purchase orders, “past due” invoice notices and calls. As well as payments administration for account
    payables utilizing Peachtree and obtaining authorization from General Manager for payment.
  4. Gather and analyze statistical data in order to create and prepare reports and correspondence, such as maintaining database for project tracking, and commissions utilizing Excel software.
  5. Assist Operations Manager with marketing projects as needed, such as newsletter creation, email
    blasts, ACT data entry, quote generation, updating procedures, updating company branding templates, organizing and setting up for live events, preparing customer case studies and press releases, etc.
  6. Schedules & arranging meals for events including but not limited to training, seminars, lunch & learns, meetings, appointments, and / or other similar activities.
  7. Runs general office errands when needed including but not limited to the post office, fedex, ups,
    grocery store, office supplies stores, etc.
  8. Ensures the cleanliness of the office environment buy making sure each room looks both professional
    and clean at all times, these duties include but are not limited to dusting, cleaning dishes, organizing,
    putting up supplies, and decorating.
  9. Assist General Manager with business/personal duties as needed.
  10. Maintain confidentiality and apply discretion in all communications and activities.
  11. Manage extremely sensitive work with a high degree of professionalism, diplomacy and tact.
  12. Attended after hour events when required.

QUALIFICATIONS
To perform this job successfully, an individual must be able to perform each essential duty satisfactorily. The requirements listed below are representative of the knowledge, skill and/or ability required.

  1. Must have high school diploma/GED. Some college course work desirable.
  2. Previous bookkeeping experience with AR, AP and Payroll preparation is recommended.
  3. Excellent computer skills with Microsoft Office products, Email, and Internet required.
  4. Ability to quickly learn new programs such as PeachTree and ACT.
  5. Excellent customer service skills, strong verbal communication skills and professional reception skills
    required.
  6. Ability to multi-task and manage priorities and other tasks accordingly.
  7. Must be flexible in working hours and task assignments when necessary. Also must be able to work on and prioritize multiple tasks simultaneously.
  8. Excellent attention to detail and proactive customer-focused work ethic and attitude, required.
  9. Ability to serve in a confidential work relationship.
  10. Ability in writing to prepare correspondences according to standard business practices.
  11. Ability to accurately type correspondences, reports and memorandum.
  12. Ability to complete financial processing procedures.
  13. Ability to prepare and present accurate and reliable reports containing findings and recommendations.
  14. Ability to perform a wide variety of duties and responsibilities with accuracy and speed under the
    pressure of time-sensitive deadlines.
  15. Ability and willingness to quickly learn and put to use new skills and knowledge brought about by
    rapidly changing information and/or technology.
  16. Ability to handle pressure.

OUTSIDE SALES ASSOCIATE - Job Description

Location: Little Rock, AR

REPORTS TO: Sales Manager 

SUMMARY:
Primary functions include a combination of individual sales contributions with appointment scheduling and office administration.  Coordinate the sales of EngATech’s products and services by performing the following duties.

ESSENTIAL DUTIES AND RESPONSIBILITIES: (Include the following. Other duties may be assigned)

  1. Responsible for identifying and generating revenue opportunities for EngATech products and services in a defined market.
  2. Establish and maintain long-term, relationships with potential or current clients to develop, propose and sell the appropriate EngATech service and/or solution, meeting the needs of the client and company.
  3. Responsible for guiding clients through the sales process to successful closure.
  4. Develop and execute territory sales strategies in order to achieve and exceed assigned sales goals via cold calls to targeted markets.
  5. Responsible for developing and coordinating sales presentations
  6. Create, maintain and provide effective, accurate and timely sales forecasts and pipeline reports.
  7. Develop sales process and procedures as needed to instill bi-directional communications as the organization grows
  8. Capture account profile and reference information, and update the sales database
  9. Call on current customers for additional product or services possibilities and manage leads and accounts using Outlook or ACT
  10. Continually pursue market opportunities through creation and distribution of literature, developing different types of lead generation and monitoring and evaluating competitor’s activities.
  11. Organize and present at seminars, trade shows and test drives for EngATech products.
  12. Schedule phone & on-site meetings & presentations, as well as special events, such as marketing seminars & trade shows
